1) How to Book
- Enquiry: Share date, guest count, event type, and hall/lawn choice.
- Site Visit / Video Call: Walkthrough + layout suggestion.
- Proposal & Quote: Scope, inclusions/exclusions, taxes.
- Date Block: Pay token advance and sign the Booking Form.
- Pre-Event Meeting: Final layouts, menu, timeline, vendor list.
- Event Day: Dedicated event manager coordinates execution.

2) Payments & Invoices
- Advance to Block Date: ___% of venue package (non-refundable portion applies; see cancellation policy).
- Second Installment: ___% by T-15 days.
- Balance: ___% on event day before start (UPI/NEFT/Cash).
- GST Invoice: Provided on request; government taxes as applicable.
- Security/Refundable Deposit: ₹____ (returned within 3 working days, post inspection).

3) Reschedule & Cancellation
- One-time reschedule allowed (subject to availability & seasonal price difference).
- Cancellation (venue fee portion) — recommended policy (edit as needed):

4) Timings, Music & Sound Norms
- Standard Slot: Up to 4–6 hours per function (customizable).
- Music Cut-off: As per local norms (typically ~10 PM).
- Overtime: Charged hourly after booked slot; must be pre-approved.

5) Vendor & Décor Policy
- Outside Vendors Welcome: Decorator, DJ, photographer, mehendi, etc.
- Compliance: ID copy, basic safety/hygiene compliance, and adherence to load-in/out timings.
- Fixing Rules: No drilling/painting on permanent structures; use clamps/stands/tapes approved on site.
- Special Effects: Cold pyros/confetti only if permitted; open flame only at designated outdoor points.

6) Catering & F&B
- Options: In-house partner menus (veg/non-veg, Jain/pure-veg setup).
- Outside Catering: Allowed with FSSAI, hygiene SOP, steward plan, and waste management.
- Tastings: On request for finalized menus.
- Alcohol: Only as per applicable laws/permits (if allowed).

7) Power, Weather & Infrastructure
- DG Backup: Full-event power backup included; fuel surcharges apply for extended use.
- Rain/Heat Plan: Canopies, covered walkways, fans/misters; layout may be adjusted for comfort.
- Housekeeping: Continuous light cleaning; major spills handled promptly.

8) Parking & Access
- On-site Parking: For cars & small buses; valet/traffic marshals on request.
- Disclaimer: Management not liable for unattended valuables left in vehicles.
- Load-in/Load-out: Vendor access windows shared in the pre-event plan.

9) Safety & Damage
- Fire Safety: Follow team instructions; no sky lanterns/crackers inside premises.
- CCTV & Security: For safety monitoring; privacy respected.
- Damage/Loss: Cost of repair/replacement will be deducted from security deposit; excess is billable.

10) House Rules
- No smoking inside the hall; use marked zones.
- No synthetic colors inside haldi/mehendi areas—organic only in splash zones.
- Pets only with prior approval and handler.
- Keep emergency exits, ramps and elder seating unobstructed.

11) Finalization Deadlines
- Guest Count Freeze: T-5 days
- Menu Freeze: T-5 days (veg/non-veg/Jain counters, live stations)
- Layout & Décor Freeze: T-3 days
- Vendor List & Power Points: T-3 days

12) On-the-Day Coordination
- Event Manager (POC): Name & number shared T-2 days.
- Run-Sheet: Cue-wise plan for entries, cake/varmala/performances, dinner, announcements.
- Emergency Contacts: Security/first-aid/DG operator posted near control desk.

13) Force Majeure
Events beyond reasonable control (natural calamity, government orders, strikes, etc.) will be treated under reschedule/credit policy (subject to availability and cost changes).

14) Acceptance
By paying the advance and signing the Booking Form, you confirm you’ve read and accepted these guidelines along with the scope of work & quotation.
